Privacy Policy

This page explains what personal information Wenling Weichuang Shoe Industry collects when you contact us or place an order, why we collect it, and how you can control it. It applies to every visitor to weichuangshoe.com, to wholesale buyers, and to retail customers.

1. Who we are

Wenling Weichuang Shoe Industry (“Weichuang Shoe”, “we”, “us”) is a handmade women’s footwear manufacturer. We have made sandals, slippers and flat shoes for 35+ years and supply buyers in 20+ countries. We decide how the personal data described here is used; under the GDPR we are the data controller.

2. Information we collect

We only collect what we need to answer your question, quote a price, make your shoes and ship them. We group it as follows.

Enquiry and quotation forms

When you use a contact form, request a catalogue or ask for a quotation, we collect your name, company name, country, email address, phone number and the content of your message. If you tell us your target style, quantity, size run or target price, we keep that with the enquiry so we can quote accurately.

Order, sampling and shipping data

When you place a sample or bulk order, we collect billing details, the delivery address, the consignee name and phone number, your VAT or company registration number where required, your preferred Incoterm, and any artwork, logo or last specification you send for OEM production.

Payment data

Bank transfers reach us with the sender name, bank name and reference shown on the remittance. PayPal payments reach us with your name, email address and transaction ID. We never see or store your full card number; card data is handled by the payment provider.

Newsletter and marketing

If you subscribe, we store your email address, your name if you give it, and the date you subscribed. We also record whether you opened or clicked our emails.

Website and cookie data

Our server logs record your IP address, browser type, device type, referring page and the pages you view. Section 8 explains cookies in detail.

3. Why we use your information

We use personal data for these purposes and no others:

  • To answer enquiries and prepare quotations, price lists and size runs.
  • To produce samples and record your approval before bulk production starts.
  • To manufacture, pack and fulfil orders, including labelling cartons with the consignee details.
  • To prepare shipping and export documents: commercial invoice, packing list, bill of lading or air waybill, and certificate of origin where requested.
  • To take payment, issue invoices and chase unpaid balances.
  • To handle defect claims, replacements, credit notes and refunds.
  • To keep the accounting, tax, export and customs records that Chinese law requires us to keep.
  • To send newsletters and new-collection updates, where you have asked for them.
  • To keep the website secure, prevent fraud and see which products buyers look at.

We do not sell personal data. We do not share your data with third parties for their own marketing.

4. Our legal bases for using your data

Where the GDPR or UK GDPR applies to you, we rely on the following legal bases:

  • Contract. Processing needed to quote, produce, ship and invoice your order, and to handle claims under it.
  • Legal obligation. Keeping invoices, export declarations and customs records for the periods Chinese tax and customs law requires.
  • Legitimate interests. Replying to enquiries, protecting our site from abuse, keeping records of a business relationship and improving our range. We balance these against your rights and use the minimum data needed.
  • Consent. Newsletter subscriptions, and analytics or marketing cookies. You can withdraw consent at any time, and withdrawing it does not affect processing already carried out.

6. Who we share information with

We share the minimum data needed with the following types of recipient. Each one receives only what it needs to do its job.

  • Freight forwarders and carriers. Consignee name, address, phone, email and carton details, so goods can be booked and delivered.
  • Customs brokers and authorities. Invoice and packing list data, including buyer name, address and any tax number, for export from China and import into your country.
  • Payment processors and banks, including PayPal. The information needed to receive payment or issue a refund.
  • Email and newsletter service providers. Your email address and name, to deliver messages you asked for.
  • Hosting and analytics providers. Technical data such as IP address and page views.
  • Professional advisers. Where we must disclose data by law, or need advice on a dispute.

Where a supplier processes data on our behalf, we require them to keep it confidential and to use it only for the service they provide to us.

7. International transfers of data

We are based in China, and to ship goods to you your data must leave China. A consignee address in Germany, for example, goes to the carrier and to German customs; a PayPal payment is processed outside China. If you are in the EU, the UK or another region with transfer rules, your data may be handled in countries whose laws differ from your own.

We limit these transfers to what the shipment, payment or legal filing requires. Where the GDPR or UK GDPR applies, we rely on the transfer being necessary for the performance of your contract, or on standard contractual clauses with the recipient. 8. Cookies and analytics

A cookie is a small file placed on your device by a website. We use three kinds.

Functional cookies

These keep the site working. They remember your language, your cookie choices and your cart contents. The site cannot work properly without them, so they are always on.

Analytics cookies

These tell us how many people visit, which styles are viewed most and where visitors come from, so we can improve the catalogue. The data is reported in aggregate.

Marketing cookies

These may be set to measure whether an advertisement or a newsletter link brought you to the site. We only set them with your consent.

How to disable cookies

You can refuse or withdraw consent for analytics and marketing cookies in the cookie banner, and change your choice later in the same banner. You can also block or delete cookies in your browser settings, usually under “Privacy” or “Site data”. If you block functional cookies, parts of the site such as the cart may stop working.

9. How long we keep information

We keep data only as long as we have a reason to. The concrete periods are in the table in section 5: order, invoice and customs records for 5 years, as Chinese accounting and customs rules require; enquiries that do not become orders for 24 months after last contact; analytics data for 14 months; newsletter data until you unsubscribe. When a period ends, we delete the data or make it anonymous.

10. Your rights and how to use them

Subject to the law that applies to you, you can ask us to:

  • Access the personal data we hold about you, and receive a copy.
  • Correct data that is wrong or out of date, such as a changed delivery address.
  • Delete data, where we no longer need it and no law requires us to keep it.
  • Restrict how we use your data while a dispute about it is being resolved.
  • Object to processing based on our legitimate interests, and to direct marketing at any time.
  • Receive your data in a portable format, so you can move it to another company.
  • Withdraw consent for newsletters or non-essential cookies.

To use any of these rights, email [email protected] with the subject line “Privacy request”. Say which right you want and give enough detail to find your records, such as your company name and an order number. We reply within one business day and complete requests within 30 days, free of charge. We may ask you to confirm your identity first, so we do not disclose data to the wrong person.

EU and UK buyers

If you are in the European Economic Area or the United Kingdom, the GDPR or UK GDPR gives you the rights above. You may also complain to your national data protection authority, though we ask you to contact us first so we can put the matter right.

California buyers

If you are a California resident, the CCPA gives you the right to know what personal information we collect, the purposes we use it for, and the categories of recipient we disclose it to. Those are set out in sections 2, 3 and 6. You may request deletion, and you may not be treated differently for exercising your rights. We do not sell or share personal information for cross-context behavioural advertising, so there is no opt-out to make. You may use an authorised agent to act for you.

11. Children’s privacy

This is a business website for footwear buyers. It is not directed at children and we do not knowingly collect data from anyone under 16. If you believe a child has given us data, email us and we will delete it.

12. Security, changes and contact

We protect your data with practical measures: access to order files and buyer records is limited to the staff who need it, accounts are password protected, the website uses encrypted HTTPS, and card details never reach our systems. Artwork and last specifications supplied for OEM production are confidential and are never shown to other buyers. No system is perfectly secure, but if a breach affects your data and creates a risk to you, we will tell you and the relevant authority without undue delay.

We may update this policy when our practices, suppliers or legal duties change. The date at the top always shows the current version, and we will flag any significant change on this page.
